HOA Holiday Lighting Approval Packet

Board-ready planning resource

HOA Holiday Lighting Approval Packet

Use this printable checklist to organize a residential HOA, managed community or commercial-property review before holiday-light installation begins. It helps the board, property manager and installation team document the proposed design, authorized areas, vendor requirements, access plan, operating schedule and seasonal closeout. It does not replace the association’s governing documents, contract, insurance review or property authorization.

Property and decision makers

  • Property name and approved installation zones
  • Board, manager and after-hours contacts
  • Approval authority and change process
  • Resident, tenant or event communication plan

Design and operations

  • Rooflines, monuments, trees, entries and common areas
  • Colors, animation, brightness and operating hours
  • Power sources and weather controls
  • Parking, gates, loading and work-hour restrictions

Risk and documentation

  • Insurance and vendor requirements
  • Attachment and surface-protection plan
  • Emergency and in-season service contact
  • Photo, resident and property privacy rules

Calendar and closeout

  • Approval, installation and event deadlines
  • Daily operating schedule
  • Takedown window and storage responsibility
  • Final inspection and damage-report procedure

Before requesting approval

Attach the proposed scope, color palette, installation map, schedule, proof of required insurance and the responsible contact list. Confirm who may approve field changes, how service requests will be reported and which surfaces or landscape areas require special protection. For shared spaces, document resident notices, quiet hours, parking restrictions and event dates. Retain the approved packet with the final proposal so every participant works from the same scope.
